Kaigo Health, Inc. ("Kaigo," "we," "us," or "our") provides care coordination services to healthcare providers and the patients they serve. This Privacy Policy explains what information we collect, how we use it, and the choices available to you.
This policy applies to information collected through kaigohealth.ai, KOVA SMS and MMS messages, voice communications, document uploads, and related care coordination services delivered by Kaigo on behalf of participating healthcare providers.
How KOVA Works
KOVA is offered through participating healthcare providers. A provider may share patient phone numbers, demographic information, Medicaid renewal context, and related clinical or coverage information with Kaigo so we can support the provider's patients. When Kaigo receives protected health information from a provider, Kaigo acts as a Business Associate under HIPAA and processes that information under a Business Associate Agreement with the provider.
Information We Collect
Information from healthcare providers
Providers may share names, phone numbers, dates of birth, demographic information, care team information, Medicaid renewal status, coverage deadlines, requested documents, and other information needed to deliver care coordination services.
Information you provide to KOVA
When you interact with KOVA by SMS, MMS, voice, or another supported channel, we collect the content of your messages, photos or documents you send, information you provide in response to KOVA's questions, and voice recordings or call details where applicable.
This may include contact information, household information, income verification, proof of address, identity documents, or other information needed for Medicaid renewal support.
Information from website visits
When you visit kaigohealth.ai, we may collect standard website data such as IP address, browser type, device information, pages visited, referral source, and analytics events. If you submit a contact form, we collect the information you provide in that form.
How We Use Information
We use information to deliver care coordination services on behalf of providers, including:
Helping patients maintain Medicaid and other healthcare coverage.
Sending coverage reminders and renewal follow-up messages.
Collecting and organizing documents needed for renewal workflows.
Submitting renewal information to payers or government agencies when authorized.
Coordinating with a patient's care team.
Maintaining security, auditing, support, and service quality.
We do not use patient information for advertising. We do not sell patient information. We do not share patient information with third parties for their own marketing purposes.
SMS Consent and Mobile Information
Kaigo does not sell, rent, or share SMS opt-in data, SMS consent status, or mobile phone numbers with third parties or affiliates for their own marketing or promotional purposes.
We may share mobile information with contracted service providers only as needed to deliver KOVA messages and related care coordination services. Those service providers may use the information only to provide services to Kaigo and participating providers.
Who We Share Information With
Your healthcare provider
Information you share with KOVA may be shared with your healthcare provider and care team because KOVA operates on their behalf.
Service providers under contract
We use contracted vendors for hosting, telecommunications, security, analytics, support, and service delivery. These vendors may use information only to provide services to Kaigo. Where required, vendors that handle protected health information are bound by Business Associate Agreements or equivalent privacy and security obligations.
Government agencies, payers, and managed care organizations
When authorized, we may submit Medicaid renewal documents and related information to state Medicaid agencies, managed care organizations, payers, or other entities involved in maintaining your coverage.
Legal and safety disclosures
We may disclose information when required by law, subpoena, court order, regulatory request, or when necessary to protect the rights, safety, or security of patients, providers, Kaigo, or others.
Your Choices and Rights
You can stop receiving KOVA SMS messages at any time by replying STOP. You can request help by replying HELP, contacting your provider, or emailing support@kaigohealth.ai.
You may request access to, correction of, or deletion of information Kaigo holds about you by emailing support@kaigohealth.ai or contacting your healthcare provider. Some requests may be handled by your provider as the covered entity under HIPAA, and some rights may be limited by HIPAA, state law, record retention requirements, or provider agreements.
If you live in a state with additional privacy rights, including California, Virginia, Colorado, Connecticut, or Utah, you may contact us to exercise those rights.
Security
We use administrative, physical, and technical safeguards designed to protect information, including safeguards aligned with HIPAA and SOC 2 practices. No system is perfectly secure. SMS and MMS messages travel over carrier networks and devices that Kaigo does not control.
Retention
We retain information for as long as needed to deliver services, meet legal and regulatory obligations, resolve disputes, maintain audit records, and comply with our agreements with healthcare providers. Patient documents and conversation records may be retained according to provider record retention policies and applicable law.
Children's Privacy
Kaigo services may support minor patients when provided through participating healthcare providers and in accordance with HIPAA, state law, and consent requirements managed by the provider. We do not knowingly collect information directly from children through our website for marketing purposes.
Changes to This Policy
We may update this Privacy Policy from time to time. The "Last updated" date above reflects the most recent version.
